Privacy Policy

1. Introduction

This Privacy Policy explains how Demicraft Ventures LLC ("Climora," "we," "us," or "our") collects, uses, stores, and protects information in connection with the Climora AI platform and services (the "Service").

This Policy applies to two distinct groups of individuals:

  • Customers: HVAC business owners and operators who subscribe to and use the Service
  • Callers: Individuals who call a business that uses the Climora AI Service (these individuals do not have a direct relationship with Climora AI)

By using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with this Policy, please do not use the Service.

2. Information We Collect

2.1 Information from Customers (Business Subscribers)

When you register for and use the Service, we collect:

  • Business Information: Business name, address, phone number, and industry
  • Account Information: Name, email address, and account credentials of authorized users
  • Payment Information: Billing address and payment method details. Full payment card details are processed and stored by Stripe. Climora AI does not store full card numbers.
  • Configuration Data: Business hours, service types, and other information you provide to configure the AI assistant
  • Usage Data: Log data, feature usage, call volume, and analytics generated through your use of the Service
  • Communications: Emails, support tickets, and other communications you send to us

2.2 Information from Callers (Third-Party End Users)

When an individual calls a business that uses the Climora AI Service, we may collect:

  • Call Recordings: Audio recordings of the conversation between the caller and the AI assistant
  • Transcripts: Text transcriptions of call conversations
  • Caller Information: Phone number, name, address, and other information voluntarily provided during the call
  • Call Metadata: Date, time, duration, and outcome of the call

We strongly encourage our Customers to provide callers with appropriate disclosure that calls are handled by an AI system and may be recorded.

2.3 Automatically Collected Information

  • Device and browser information
  • IP address and approximate location
  • Pages visited and features used
  • Referral source and session duration

3. How We Use Information

3.1 Customer Information

  • Provide, operate, and maintain the Service
  • Process payments and manage subscriptions
  • Configure and personalize the AI assistant for your business
  • Send transactional emails and account notifications
  • Respond to support requests and inquiries
  • Analyze usage patterns to improve the Service
  • Comply with legal obligations

3.2 Caller Information

We use Caller information to operate the AI voice assistant on behalf of the subscribing business, generate call summaries and transcripts, fulfill appointment scheduling and service requests, and maintain records required for the operation of the Service.

3.3 What We Do NOT Do

  • Sell any personal information of Customers or Callers to third parties
  • Use call recordings or transcripts to train AI models without explicit written consent from the subscribing Customer
  • Share Caller information with any third party other than the subscribing business and service providers necessary to operate the Service
  • Use Caller information for advertising or marketing purposes

4. How We Share Information

4.1 Service Providers

  • Twilio: Telephony infrastructure and call handling
  • Vapi: AI voice processing
  • Stripe: Payment processing
  • Supabase: Database and data storage
  • Vercel / Railway: Hosting infrastructure

All service providers are contractually required to handle data securely and only for the purposes of providing services to us.

4.2 The Subscribing Business

Call recordings, transcripts, caller contact information, and call summaries are shared with the HVAC business that subscribes to the Service.

4.3 Legal Requirements

We may disclose information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect rights, protect safety, or investigate fraud.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will provide notice before your information is transferred.

5. Data Retention

  • Account and subscription data: Duration of subscription plus 2 years
  • Call recordings: 90 days by default
  • Call transcripts and summaries: 12 months
  • Payment records: 7 years as required for tax and accounting purposes
  • Support communications: 3 years

You may request earlier deletion of call recordings by contacting contact@climora.ai. Upon account termination, we retain your data for 30 days to allow for data export requests, after which it will be permanently deleted.

6. Data Security

  • Encryption of data in transit using TLS/SSL
  • Encryption of sensitive data at rest
  • Access controls limiting data access to authorized personnel only
  • Regular security reviews and monitoring
  • Secure third-party infrastructure providers

No method of transmission over the Internet is 100% secure. In the event of a data breach that affects your rights, we will notify you as required by applicable law.

7. Your Rights and Choices

7.1 Customer Rights

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your personal information, subject to legal retention requirements
  • Portability: Request a machine-readable export of your data
  • Opt-out of marketing: Unsubscribe from marketing communications at any time

7.2 Caller Rights

If you are an individual who called a business using the Climora AI Service and wish to exercise rights regarding your recorded call data, please contact the business directly or reach us at contact@climora.ai.

7.3 California Residents

If you are a California resident, you have additional rights under the CCPA, including the right to know what personal information is collected, the right to delete it, and the right to opt out of its sale. We do not sell personal information. To exercise your CCPA rights, contact contact@climora.ai.

7.4 Submitting Requests

Contact us at contact@climora.ai. We will respond within 30 days and may need to verify your identity before processing your request.

8. Cookies and Tracking Technologies

Our website uses cookies to improve your browsing experience and analyze site traffic. You can control cookie settings through your browser preferences. We do not use third-party advertising cookies or share browsing data with advertising networks.

9. Children's Privacy

The Service is not directed to individuals under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have done so, please contact us at contact@climora.ai.

10. Third-Party Links and Services

Our website and platform may contain links to third-party websites. This Privacy Policy does not apply to those sites. We encourage you to review the privacy policies of any third-party services you use.

11. Data Storage and International Transfers

Your information is stored and processed in the United States. If you access the Service from outside the U.S., please be aware that your information will be transferred to and processed in the U.S., where data protection laws may differ from those in your country.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or prominent notice on our website at least fourteen (14) days before the changes take effect.
